Brainary is committed to protecting your privacy. This policy explains how we collect, use, share, and safeguard your personal information when you visit brainaryhq.com, create an account, enrol in a programme, or use our learning platform.
1. Who we are

2. Information we collect
We collect information in the following ways: Account and profile information When you register, we collect your name, email address, and password (stored in hashed form). If you sign in with Google, we receive your name, email address, and profile picture from Google. During onboarding and in your profile settings, you may provide additional details such as phone number, workplace, industry, current role, and qualifications. Enrolment and payment information When you enrol in a programme or complete checkout, we record enrolment details, payment status, invoices, and transaction references. Payment card details are collected and processed directly by Stripe — we do not store full card numbers on our servers. Learning and platform activity When you use the platform, we may collect information about your participation, including cohort classroom access, homework submissions and grades, assignment submissions, class schedules, calendar exports, resource downloads, and in-app notification interactions. Community and communications If you use the forum, we store the content you post (threads, comments, and upvotes). If you contact us via the contact form or email, we retain your message and our correspondence. AI tutor (Luna) When you use our AI tutor, the questions and messages you send are transmitted to our AI provider to generate responses. Do not submit sensitive personal information in AI chat sessions. Technical and usage data We automatically collect certain technical information, including IP address (which may be stored in hashed form), browser type, device information, pages visited, session identifiers, and error or performance logs. We use cookies, local storage, and session storage for authentication, preferences (such as theme), and analytics.
3. How we use your information
We use your information to: • Create and manage your account, authenticate you, and provide access to enrolled programmes • Process enrolments, payments, invoices, and receipts • Deliver live cohort classroom features, homework, grading, schedules, and resources • Send transactional emails (verification, password reset, enrolment confirmations, class reminders, and receipts) and in-app notifications • Operate the forum and community features within your cohort • Provide the AI tutor and improve educational support • Respond to contact enquiries and provide customer support • Monitor platform security, prevent fraud and abuse, and maintain audit logs • Analyse aggregated usage to improve our curriculum, platform, and user experience • Comply with legal obligations With your consent, or where permitted by law, we may also send you relevant updates about Brainary programmes and services. You can opt out of marketing emails at any time.
4. Legal bases for processing (UK & EEA)

5. How we share your information
We do not sell your personal data. We share information with trusted service providers who help us operate the platform, including: • Stripe — payment processing and billing • Resend — transactional and service email delivery • Google — optional sign-in authentication (OAuth) • Vercel — hosting, analytics, and performance monitoring • Sentry — error monitoring and application diagnostics • Anthropic — AI tutor (Luna) responses • Cloudinary and UploadThing — file uploads for homework, resources, and profile assets • PostgreSQL database hosting — secure data storage These providers process data on our behalf under appropriate contractual safeguards and only as needed to perform their services. We may also share information with instructors and administrators involved in delivering your enrolled programme (for example, to review homework or manage your cohort). We may disclose information if required by law, court order, or to protect the rights, safety, and security of Brainary, our users, or others. If Brainary undergoes a business transfer (such as a merger or acquisition), your information may be transferred as part of that transaction, subject to this policy.
6. International data transfers
Some of our service providers are located outside the United Kingdom or European Economic Area. Where personal data is transferred internationally, we ensure appropriate safeguards are in place, such as standard contractual clauses or equivalent mechanisms recognised under applicable data protection law.
7. Data retention
We retain your account, enrolment, and learning records for as long as your account is active or as needed to provide services and fulfil our legal, accounting, and contractual obligations. After account closure or deletion, we may retain certain information in anonymised or aggregated form, or where required by law (for example, payment and invoice records). Audit logs and security records may be kept for a limited period to protect the platform. Brainary is intended for adults and career changers. Our services are not directed at children under 16. We do not knowingly collect personal information from children under 16. We may update this Privacy Policy from time to time. When we make material changes, we will notify registered users by email or through a notice on the platform.
